Appointments & Cancellations

1. What is your cancellation policy?

We require at least 24 hours' notice to cancel or reschedule an appointment. Late cancellations or missed appointments will incur a fee:

  • Naturopathic visits: $50.00

  • Other appointments: $25.00

2. What happens if I miss my appointment?

If you miss your appointment or cancel late, the associated fee must be paid within 30 days. If payment is not received, it may be sent to a collection agency with additional fees applied.

3. How do I reschedule after a missed appointment?

To reschedule, full payment for the office visit/service must be made at the time of rescheduling.

4. What if I am running late?

If you arrive more than 15 minutes late, we may need to shorten or reschedule your appointment depending on availability.

Consultations & Follow-Ups

5. What is included in the initial consultation?

The initial consultation lasts 90–100 minutes and includes:

  • A comprehensive review of your medical history.

  • An evaluation of physical, mental, emotional, environmental, and lifestyle factors affecting your health.

  • Recommendations for lab tests (if needed).

  • Development of an individualized treatment plan tailored to your needs.

6. How much does the initial consultation cost?

The initial consultation costs $183.00.

7. How much do follow-up appointments cost?

  • 30 minutes: $75.00

  • 45 minutes: $95.00

  • 60 minutes: $115.00

Laboratory Testing

8. Are laboratory tests required?

No, laboratory tests are optional but highly beneficial. They provide a clearer picture of your health, help identify priorities, and monitor progress.

9. When do I pay for laboratory tests?

All laboratory tests must be paid for at the time of service.

10. Are lab results used to diagnose diseases?

No, the lab tests at The WellSpring Collective are for informational purposes only and do not diagnose diseases.

11. What happens if I cancel a lab test?

Canceled lab tests will result in a $25 fee.

Phone & Email Support

12. Is phone or email support included?

Yes, limited phone/email support is included for existing patients:

  • Chronic treatment: First month of treatment.

  • Acute visits: First week after your visit.

13. What if I need extended phone or email support?

Extended phone/email consultations that require significant time or introduce new material will be billed as follows:

  • Minimum fee: $45.00.

  • Consultations requiring in-depth support: Fees may match an equivalent office visit (e.g., $95.00 for a detailed consultation).

Fees & Payment Policies

14. What forms of payment do you accept?

We accept:

  • Cash

  • Personal checks

  • Visa, MasterCard, American Express, and Discover

15. When is payment due?

Payment is expected at the time of service.

16. Can I use insurance?

No, The WellSpring Collective is a cash-based office, and payments may not be reimbursable by insurance providers in Virginia.

17. Do you offer payment plans?

Yes, payment plans may be available for qualified individuals. Please contact us for more details.

18. What happens if my check is returned for insufficient funds?

A $50.00 fee will be charged for returned checks.

Refund & Credit Policy

19. Do you offer refunds for naturopathic services?

No, all services are non-refundable. However, unused services may be credited for future use, valid for one year from the date of issuance.

20. Do you offer refunds for prepaid packages or memberships?

  • Packages are non-refundable unless due to documented medical necessity or other extenuating circumstances (at our discretion).

  • Unused sessions may be transferred to a family member or friend with prior approval.

  • Packages must be used within 24 months of purchase, or they will expire.

21. Can I cancel my membership early?

  • If a membership is canceled early, a 10% cancellation fee applies.

  • If more services have been used than the prorated amount, additional charges may apply.

Financial Hardship Policy

22. Do you offer assistance for financial hardship?

Yes. We understand natural healthcare can be costly. Please contact our office for details on our Benevolence Policy application.

Emergencies & Urgent Situations

23. What should I do in case of an emergency?

  • During office hours: Call 540.440.1872.

  • After office hours: Leave a message; staff will check regularly.

  • If immediate help is needed:

    • Call 911.

    • Visit the nearest Emergency Room or Urgent Care Center.

    • Contact your primary care physician.

Patient Responsibilities

24. What are my responsibilities as a patient?

To ensure effective treatment, we ask that you:

  • Be honest and open about your health history, symptoms, and lifestyle.

  • Follow treatment plans and communicate any difficulties.

  • Respect staff and other patients—we have a zero-tolerance policy for abusive or inappropriate behavior.

  • Engage actively in your health journey, including recommended lifestyle changes.

Scope of Practice Disclaimer

25. How do naturopathic doctors differ from medical doctors?

Naturopathic doctors:

  • Identify and address underlying causes of health issues.

  • Use natural, non-invasive therapies such as nutrition, homeopathy, herbal medicine, and lifestyle changes.

  • May recommend therapies not FDA-approved.

  • Do not replace primary care physicians and advise patients to seek concurrent conventional medical care.

26. Can naturopathic doctors prescribe medications?

No, naturopathic doctors at The WellSpring Collective do not prescribe pharmaceutical medications.

27. Can I refuse treatment recommendations?

Yes, you always have the right to decline or discontinue any treatment suggested.

Policies for Minors

28. Can minors receive naturopathic treatment?

Yes, but a parent or legal guardian must provide written consent before treatment begins.

29. Can minors attend appointments alone?

  • A parent/guardian must be present for the initial consultation.

  • Minors 16 or older may attend follow-up visits alone with prior written parental consent.

30. What happens if a minor needs urgent care?

If a minor requires emergency medical attention and a parent/guardian is unavailable, we will:

  • Provide first aid if necessary.

  • Seek emergency medical services.

  • Attempt to contact the parent/guardian as soon as possible.
